Position Description and Essential Functions:

We are seeking a dedicated and organized Administrative Assistant with a strong skill set in office management to join our team. This role plays a critical part in maintaining the efficiency of our office environment. The ideal candidate should possess excellent communication and multi-tasking abilities, as well as a keen attention to detail.

Key Responsibilities:

Office Management: Supervise and oversee daily office operations to ensure a well-organized and efficient workplace. Manage office supplies, equipment, and inventory and place orders when necessary.

Administrative Support: Provide administrative support to the executive team, including scheduling appointments, managing calendars, and handling travel arrangements. Assist in the preparation and distribution of internal and external communications. Create and maintain organized filing systems for important documents and records. Handle incoming calls, emails, and inquiries, and redirect them appropriately.

Meeting and Event Coordination: Schedule and coordinate meetings, conferences, and events. Prepare meeting materials, agendas, and minutes as needed. Arrange catering, setup, and other logistics for office events.

Data Entry and Reporting: Perform data entry and maintain accurate records in databases and spreadsheets. Generate reports, as required, to support decision-making and tracking of office activities.

Visitor and Guest Relations: Greet and assist visitors, clients, and guests in a friendly and professional manner. Ensure a welcoming and positive experience for all office visitors.

Mail and Correspondence: Manage incoming and outgoing mail, packages, and courier services. Distribute mail and correspondence to the appropriate individuals.


High School diploma or equivalent; additional education or certifications in office management or administration is a plus.

Proven experience in office management and administrative support roles.

Proficiency in Microsoft Office Suite and other relevant software.

Strong organizational and time management skills.

Excellent written and verbal communication skills. Attention to detail and accuracy in all tasks.

Ability to multi-task and prioritize tasks effectively.

Strong problem-solving and decision-making abilities.

Professional friendly demeanor with a customer-service orientation.

Projected Annual Compensation:

$40,000.00 - $50,000.00 based on experience
