Position Summary

Reporting to The Efficiency Network’s (TEN) Vice President of Construction (VPC), the Project Coordinator (PC) will be responsible for the coordination of TEN’s construction project needs. The PC will coordinate subcontractor and vendor prequalification and processing, assist with project scheduling, drawing management, and change order distribution and organization. Additionally, the PC will be responsible to ensure that projects are in compliance with safety documentation requirements, insurance documentation, and development of close-out operations manuals. The PC position will also be required to assist in the maintenance of the project budgets and costs and assist with the development of each project's content in Procore.

Responsibilities

CONSTRUCTION

  • Prepare and process, in conjunction with the Project Manager, Purchase Orders and Subcontracts for projects, including using bill of materials and schedules of work from project proforma.

  • Maintain and update subcontractor qualifications to ensure each subcontractor is qualified to work on Company projects.

  • Tracking and reporting of Certified Payrolls on projects for submittal to owners.

  • Maintain and update subcontractor Certificates of Insurance, including customer push down requirements and special insurance coverages by project.

  • Manage and track subcontractor and vendor change orders.

  • Generate weekly and monthly reports for all project managers for their respective jobs.

  • Coordinate with project managers to review all projects and assist with the maintenance of estimates and tracking of all invoices and work orders.

  • Develop and issue various construction documents to set bids for all projects and issue notices to contractors.

  • If required, coordinate with customers’ recommended changes to contracts.

  • Coordinate the bidding of subcontractor labor and equipment purchases and coordinate with engineers and designers for timely documentation for bidding.

  • Develop, monitor and prepare required documents and flow down terms and conditions from customer contracts to establish quality of all construction work for all contracts.

  • Assist with the scheduling of all regularly scheduled construction meetings for all projects.

  • Participate in various construction progress meetings and assist project managers in maintaining records for all construction activities including meeting minutes.

  • Assist in the development and management of the submittal process. Work to include assisting the PM with submittal registry and collection of submittals from subcontractors and vendors for review by the project team.

  • Assist the Project Manager in the maintenance of all contractor drawings to ensure drawings are current.

  • With support from the Project Manager and Development Team members, prepare and review operating and maintenance (O&M) manuals for each project with each customer as needed.

  • Ensure compliance to all company, industry, and customer safety requirements.

  • Monitor all project progress and assist project managers in preparation of substantial completion notices, deficiency lists and final completion notices in support of timely project close out.

  • Provide support for the coordination of all project costs incurred with the Company’s accounting department to ensure timely billing and reporting of project progress (sub-invoicing, vendor invoicing timely)

  • Vendor and subcontractor diversity certification and tracking.

  • Experience with Procore, or other online project management software is preferred.
