TITLE: Legal Administrative Assistant

RESPONSIBLE TO: Chief Legal Officer & General Counsel

DIVISION/DEPART: Legal & Government Relations

SUPERVISES: N/A

FLSA STATUS: Exempt

BASIC FUNCTION:

  • Provide administrative support the Legal & Government Relations team, including the Chief Legal Officer & General Counsel and the Vice President of Government Affairs.

    SPECIFIC DUTIES:

  • Assist with contract management process including data entry into the contract management system, track contract renewals, assist users with troubleshooting, and manage contract signings.

  • Assist with customer relationship management database for the Government Affairs team.

  • Assist with bequest management, including organizing, reviewing and maintaining bequest files, and coordinating the Donor Impact team for tracking funds received.

  • Assist in compliance activities such as charitable solicitation filings, administration of annual compliance training, tracking completion of training.

  • Process invoices, prepare check requests, track budgets, and prepare expense reports for the department.

  • Draft routine correspondence.

  • Assist with special projects and events such as the annual Goodwill on the Hill event.

  • General administrative duties (review mail, copy, scan, file, data entry/reporting, etc.).

  • Maintain calendars, arrange meetings, schedule training.

  • Monitor Legal and Public Policy inboxes.

  • File organization and document management.

  • Coordinate materials and documents across multiple platforms.

  • Matter intake and tracking.

  • Other duties as assigned.

. RELATIONSHIPS:

  • Internal: Work closely with the Legal & Government Affairs team, and across disciplines.

  • Local Goodwills: Occasional contact with membership.

  • External: Occasional contact with law firms and other vendors.

SKILLS NEEDED:

  • Superior organization skills.

  • Technology skills – Proficient with MS Office 365 Suite, particularly Word, PowerPoint, Teams, SharePoint and OneDrive. Experience with SmartSheets, Docusign and IronClad is a plus.

  • Superior attention to detail and proofreading skills.

  • Team player with the ability to work with people at all levels.

  • Excellent time management skills with ability to multi-task and prioritize appropriately to meet deadlines.

  • Discretion in handling confidential information.

  • Notary (or eligible to become a notary with 90 days of hire)

EDUCATION: Associate degree or bachelor’s degree.

EXPERIENCE: Minimum 5 years related work experience.

DECISION MAKING: Decision making and providing recommendations related to priorities, system improvements, responses appropriate to identified needs.

PHYSICAL EFFORT: Sedentary with lifting 10 pounds maximum and occasionally lifting and/or carrying such articles or files. Walking and standing are required occasionally; long hours sitting at a desk and using a computer.

EMOTIONAL EFFORT: Work environment is often busy with periods of high stress. Must demonstrate a positive attitude in meeting daily challenges.
