JOB SUMMARY:
This position is Hybrid 3 days a week (Monday, Tuesday, Thursday). Based on project requirements, on-site presence may be required for up to 5 days/ week, including after-hours support.
The Corporate Real Estate Planning Analyst will be responsible for delivering across the role in areas such as lease administration, transactional support, project coordination supporting Real Estate projects through collaborating with support teams and vendors, project budget creation and tracking, annual department budget preparation support as required, and monthly budget tracking. This role may have 1 direct report.
ESSENTIAL DUTIES / RESPONSIBILITIES:
Project coordination and support across the RE portfolio, including budget creation, tracking and reporting
Monitor expenses and project budgets to ensure invoices are being properly paid and coded
Work with all REFM functions (e.g. facilities Management, Transaction Management, RE Planning & Construction) in the design, execution and delivery of key projects and initiatives pertaining to lease administration
Create and track REFM RFPs and POs as required
REFM vendor setup as required
Prepare and/or edit lease abstracts
Review and/or approve rent payments
Arrange rent payments and rent receipts with accounting and outsourced payment support.
Recover and reconcile tenant improvement allowances
Coordinate execution of real estate related documents
Review and approve rent steps, percentage rent and escalation billings from Landlords
Help manage the Real Estate and Planning team SharePoint site
Maintain the Lease Administration database and ensure the accuracy and integrity of its information
Maintain and analyze lease and payment details in Harbor Flex, SAP, and other Real Estate team administrative tools
Provide technology training to colleagues as needed
Track & report on lease renewals, closures, and relocations
Conduct Operating Expense audits and negotiate audit findings with property managers or landlords to ensure sufficient credits and appropriate charges are made.
Assist in the identification, touring, selection, and acquisition of leased properties.
Assist in the coordination of property closures
Insurance certificate requests
Document circulation and filing
Security deposit recovery
Tenant application completions
Market analysis, property comp., and approval forms preparation and tracking.
Provide support to Corporate Real Estate Analyst, finance and accounting as required
Proactively identify opportunities to improve processes and increase efficiency.
Mentoring Jr level team members
WORKING CONDITIONS:
60 % Open office environment
40 % Remote work. Requires flexibility to support construction projects as required. Hard hats, safety vests, goggles and safety shoes required at construction sites
Some travel may be required to support project work to include up to 1-2 trips per quarter
MINIMUM REQUIREMENTS:
Education: BA/BS or equivalent industry experience
A minimum of 4 years of experience in Corporate Real Estate, Space Planning, Project Management and/or Facilities Operations Management with budgetary responsibilities is preferred.
Proven ability to create and track RFPs and POs for REFM functions
Proven ability to set up REFM vendors
SAP knowledge and proficiency to support REFM requirements
Familiarity and knowledge of the corporate environment, corporate real estate, and facilities management fundamentals is a plus.
Proficiency in Lease Administration and space planning tools
Must have advanced expertise with the Microsoft Office Suite - Excel, PowerPoint, Visio, Word, and Outlook.
Must be highly organized, precise, and detail oriented.
PREFERRED QUALIFICATIONS:
Strong written and verbal communication skills.
Ability to interpret and set priorities and multi-task in a fast-paced, high-volume, detail-oriented environment.
Credentials may include Qualified Professional of Corporate Real Estate (QPCR) certifications
Ability to handle and resolve typical day-to-day issues independently
Strong Lease administration and abstraction skills
Previous experience managing or supervising
Current driver’s license.

PHYSICAL REQUIREMENTS:
Sedentary / Light work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sitting, walking and standing are required.
Occasionally requires construction site and/or warehouse visits where temperature and noise levels vary.
Occasionally requires airplane travel.
