Description

Responsible for leading timely and accurate payroll processing through an internal system. Ensures that employees are paid on time and that pay is accurate. Also ensures that internal control policies and procedures meet the requirements and are followed. This position must be aware of benefits from a payroll perspective, tax laws and ensure compliance regarding withholding as well as company compensation policies. The position includes filing tax and voluntary deduction reports and payments. The position maintains company payroll document process and procedures. The position also completes additional accounting tasks assigned by management. Prepares materials for external and internal auditors. Interfaces with all associates within the company and provides quality customer service to associates.

Job Duties:

  • Responsible for leading timely and accurate payroll processing through an internal system.

  • Processes nonexempt and exempt payroll associated with new hires, rehires, promotions, raises, tax information, benefit deductions, awards, leaves of absence, relocation reimbursements and bonuses, garnishments, and child support withholding, etc.

  • Ensures that only authorized salary information is used and proper accounts are affected.

  • Maintains confidentiality of associate information at all times (for example, when send email with data to HR, securing payroll paper and electronic files etc.)

  • Ensures wires and ACH files are sent according to procedures to the respective companies (bank, retirement, etc.)

  • Maintains positive working relationships with key stakeholders in GSOC, OPC and GTC

  • Process year-end W-2s, Annual and Quarterly tax files

  • Balances Lawson system tax records to Payroll records

  • Business Continuity – acts as business continuity alternate for payroll department supporting the Payroll/AP manager

  • Benefits correlation to Payroll processing

  • Strong working knowledge of the company benefits and the interface with Payroll (for regulatory, controls, system improvements, etc.)

  • Collaborates/works with HR to see improved quality reviews and automation

  • Ensure benefits component of payroll is completed timely and in a quality manner

  • Internal Controls Audit and Reporting Related

  • Performs payroll audits to ensure error free payrolls and compliance with government regulations and company policies.

  • Ensures that internal control (quality) policies and procedures meet the requirements and are followed, to include reviewing Payroll for Risks and keeping the Payroll Control Self-Assessment current.

  • Prepares materials for internal/external auditors.

  • Includes the maintenance of company payroll document process and procedures.

  • Prepares and processes necessary data from the payroll system to satisfy various internal and external reporting requirements.

  • Ensures compliance for federal, state, and local wage and tax laws. Prepares and files payroll taxes for semi-monthly, monthly, quarterly and annual filings. Research and remain current on payroll tax filing requirements.

  • Reconciles Payroll General Ledger Payroll and Accounts Payable accounts. Prepares accounting papers, schedules, exhibits and summaries.

  • Supports systems upgrades, problem resolution and enhancements.

  • Other duties as assigned.

    Required Qualifications:

    Education: Four year college degree (focused on specialized accounting/finance related course work)

    Experience : 6+ year’s payroll processing with knowledge of basic accounting and bookkeeping practices and procedures, including general ledger, journal entries, and account reconciliations.

    Equivalent Experience: 9+ years of experience as outlined above in automated payroll accounting, including knowledge of payroll tax and employee benefit regulations

    Licenses, Certifications and/or Registrations: FCP or CPP preferred

    Specialized Skills:

  • Working knowledge of:

  • Accounting principles, auditing concepts and internal controls

  • Tax laws

  • Employee benefits and regulations in relation to Payroll

  • Software and systems

  • Working knowledge of an automated payroll system, Knowledge of Lawson Applications a plus.

  • Proficient software skills – MS Word and intermediate to advanced MS Excel skills.

  • SharePoint skills a plus

  • Business Objectives knowledge - Ability to build and execute ad hoc reports

  • Flow charting skills or within a software tool (VISIO skills a plus)

  • Strong communication skills (written and verbal) are essential.

  • Strong interpersonal and customer/stakeholder relationship and service skills

  • Ability to grasp new concepts; learn quickly; convey ideas verbally and in written form; prioritize work assignments; analyze and solve problems; ability to handle multiple tasks concurrently.

  • Able to work independently and as a strong team player.

  • Flexible.

    Unusual Hours: High overtime hours required in short payroll turnaround periods as well as January for year-end processing and for starting out the new year (new payroll transactions, W 2 processing, year-end closing of general ledger). Payroll is very deadline oriented which requires flexibility in working hours if necessary.
