This role is pivotal in ensuring that office facilities are maintained to the highest standards, fostering a productive, efficient, and comfortable workplace experience for all employees and visitors. What You Will Do:
Workplace Support
Ensure all office spaces are clean, functional, and conducive to productivity, addressing any workplace concerns promptly.
Coordinate with property management, vendors and service providers for cleaning, maintenance, and repairs to maintain a pristine building environment.
Monitor office layouts and space utilization, making recommendations for adjustments to accommodate business needs.
Facilitate the smooth onboarding of new employees by ensuring workstation readiness and amenities setup.
Facilities Management
Conduct regular inspections of the office and facilities to identify and address maintenance issues.
Maintain relationships with property management, ensuring compliance with lease agreements and building policies.
Manage the ordering and stocking of office supplies, ensuring availability without excess costs.
Health & Safety
Implement and monitor health and safety protocols in line with company policy and legal requirements.
Coordinate emergency evacuation drills and ensure all employees are familiar with building safety procedures.
Respond promptly to any on-site emergencies, liaising with relevant authorities and personnel as needed.
Vendor and Stakeholder Coordination
Collaborate with third-party vendors for maintenance, catering, supplies, and other workplace services.
Negotiate contracts and oversee vendor performance to ensure cost-effectiveness and quality of service.
Act as the primary point of contact for workplace-related inquiries and issues from employees and stakeholders.
Administrative Duties
Maintain accurate records of building operations, maintenance schedules, and vendor agreements.
Provide regular reports to management on facilities-related activities, budgets, and improvements.
Who you are:
Related university degree or technical diploma with limited experience OR a combination of related certification and a minimum of five years directly related experience in facilities coordination, office management or a related field.
Strong understanding of workplace operations and building systems management.
Excellent organizational skills and attention to detail.
Good interpersonal and communication skills to interact effectively with employees, vendors, and building management.
Proficiency in workplace management software and basic office tools (e.g., Microsoft Office Suite).
Certification in facilities management or property management (e.g., FMP, IFMA) is an asset.
Experience with budget management and vendor negotiations and familiarity with health, safety, and environmental regulations is preferred.
Working Conditions:
Typical office environment.
Fast paced office environment with multiple, concurrent activities and projects.
Some duties outside of traditional business hours as required to manage moves and maintenance (will be on a rotational basis with other team members).
Travel to other Enbridge office locations, approximately 10%. Valid passport is required.

Physical Requirements include but are not limited to:
Grasping, kneeling, light – moderate lifting (objects up to 20 pounds), reaching above shoulder, repetitive motion, typing, sitting, standing, visual requirement (able to see screens, detect color coding, read fine print), hearing requirement and the ability to sit at a computer for long periods of time.

Ability to: understand, remember and apply oral and/or written instructions or other information, understand complex problems and collaborate/explore alternative solutions, organize thoughts and ideas into understandable terminology, organize and prioritize work schedule on a short-term basis, make decisions which have moderate impact on the immediate work unit and monitor impact outside this area, understand and follow basic instructions and guidelines, complete routine forms, compose letters, outlines, memoranda and basic reports and communicate with individuals via telephone.
