Position Summary
The Project Support Specialist is responsible for supporting the Project Management team. This position will assist multiple project managers in successfully managing projects including providing administrative support, material planning, logistics, purchasing support and outage support.
Responsibilities
Support Project Management team in:
Preparation and maintenance of project budgets
Assist with contractor bid packages.
Assist with managing purchase orders.
Oversee Contractor mobilization and site access.
Arrange meetings with stakeholders, contractors, and vendors.
Use business software applications (e.g. Word, PowerPoint, Excel) to prepare correspondence, reports, presentations, agendas, minutes, etc.
Set up, organizing, and maintaining the mobile offices, and other facilities, ensuring posting of all company, health and safety, and legal notices.
Set up, coordinate office workstations, IT permissions, and training.
Implement project setup in both our accounting and project management software.
Generate financial reports.
Gather required approvals for invoices for processing through the A/P.
Assist with configuration management in our ACT software.
Walkdowns and tracking of rental equipment inside the power block.
Logistics for the site.
Required/Basic Qualifications
High School/GED degree
2 years related work experience
Desired Qualifications
Associates degree
In addition to desired degree, 3 years related work experience
Power Generation experience.
Additional Preferred Qualifications
Effective communication skills across all levels and departments of the organization, customers, vendors and subcontractors.
Ability to multi-task and prioritize assignments
Previous Construction or related industry experience.
Experience with project or cost accounting is a plus.
Ability to work independent of direct supervision.
Be flexible and able to prioritize and complete a variety of simultaneous tasks with a high level of organization.
Detail oriented with the ability to understand key business concepts.
Possess a positive attitude with strong interpersonal skills.
Ability and willingness to learn and adapt quickly to evolving business processes.
Demonstrated knowledge and experience with Microsoft Office suite applications, including Excel and PowerPoint.
A background in project administration, project management or construction management.
Working knowledge of industrial materials, equipment, and components and general construction practices.
Working Conditions
Onsite Mobility Classification – Work will be performed at a company facility
Onsite Mobility Classification - M-T
Performs work in an office environment; required to work in all areas of generating facilities, operating 24 hours a day, 365 days a year, which includes exposure to heat, cold, noise, dust and humidity. May be required to climb ladders and stairs at various heights, walk, stoop, bend or squat.
