Job Purpose

The Shop Admin is primarily responsible for tracking repairs and maintenance of construction equipment and maintaining records of equipment and its maintenance.

Essential Functions

  • Maintain equipment maintenance files and license files.

  • Track workorders and purchase orders for completeness and priced out.

  • Order parts and maintenance items as needed and track though POs and workorder system.

  • Communicate with field operations for equipment and vehicles coming in and out.

  • Maintain all equipment maintenance and regulatory files.

  • Prepare and submit equipment invoices for management and equipment files.

  • Schedule equipment servicing and maintain service records.

  • Prepare required documentation accurately and in a timely manner, including work orders, parts lists and timecards.

  • Maintain inventory of vehicles and equipment as they come and go from shop location.

  • Maintain a safe working environment and observe all safety laws, policies and rules.

  • Purchase Order tracking for vendors and accounting department.

  • Perform other duties as required and/or assigned.

Physical Demands and Work Environment

This job operates in a repair shop environment. This role uses standard office equipment such as computers, phones, and copiers/scanners. This position requires medium exertion with some lifting, walking, stooping, reaching, and grasping required. Occasional use of safety equipment and protective gear required. Must be able to bend and lift and carry up to 50 pounds. Clarity of vision at 20 inches or less and at 20 feet or more required. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.

Minimum Qualifications

  1. A High School Diploma, or equivalent.

  2. Knowledge of automotive or off-road equipment safety and proper use.

  3. Good written and verbal communication skills.

  4. Proficient in Microsoft Office products, particularly Excel.

  5. Excellent organization skills.

Preferred Qualifications

  • An Associate’s degree in a technical field of study

  • 2 years of related experience.

  • Automotive or off-road equipment industry in parts or maintenance.
