In this job, you’ll be part of Edison’s Investor Relations team which is responsible for communicating the company’s long term strategy to the financial community. As a high-profile Executive Assistant, you'll perform advanced administrative support functions for the Vice President of Investor Relations and the IR team. This position regularly handles confidential and sensitive information that has significant corporate and reputational impact.
A day in the life:
This role is perfect for an administrative marvel that is proactive, extremely organized and resourceful.
You'll review and process incoming/outgoing communications, maintain\ corporate records, respond to or route external and internal customer calls/inquiries, receive visitors, prepare and coordinate specific activities and reports through automated and/or manual methods, maintain/update calendars, and coordinate meetings (including planning and event logistics).
You will perform various invoice processing and procurement related activities on behalf of the supporting executives and the team, as well as data entry, timekeeping, and expense report submittals. You will also maintain detailed records of IR meetings and meeting notes, so being well versed in Microsoft Office will be crucial to your success.
Coordinate routine and executive-level meetings on and off site, as well as complete travel arrangements for internal and external business partners
Update reports and distribution lists, coordinate and prepare presentation material using MS Office and Adobe Acrobat.
Process timekeeping, expense reports, credit card reconciliations, and office invoices.
Review and route incoming and outgoing correspondence including email and ensuring prioritization, review and response as appropriate.
Compose correspondence and other materials.
Work with internal and external business partners to coordinate executive level meetings and events for large groups.
Draft, proofread, edit, and reformat presentations and reports (including charts and tables).
Establish efficient processes to handle multiple assignments with minimal supervision.
Handle highly confidential and sensitive information.
Maintain workflow when the Vice President is out of the office.
Maintain a safety conscious work environment by following Edison safety protocols and safe work practices.
Five years of experience performing advanced administrative, secretarial, and clerical functions.
Three years of experience supporting a Director level or higher.
Experience handling executive level calendars, including coordinating, scheduling, and planning meetings, appointments, video conferencing, MS Office, using SharePoint Libraries and IR-related databases.
Experience in grasping the relationships of various discrete assignments and events with a view of taking necessary actions.
Organizing a heavy workload, being assertive, creative, working well under pressure, and performing tasks/assignments with high attention to detail and quality.
Working effectively and accurately on diverse and concurrent assignments in an environment with frequent interruptions, changing priorities, and tight operating deadlines.
Coordinating routine and executive-level meetings (tasks include setting-up video conferencing, conference calls, conference rooms, and presentations).
Experience processing timekeeping, expense reports, credit card reconciliations, office invoices, and other related documents/activities.
Experience using office productivity tools (e.g., Microsoft Office Suite) to gather information from multiple sources, convert documents from one format to another, and create/edit standard and non-standard reports, presentations, and/or products.
Experience maintaining confidentiality of sensitive and confidential information.
Ability to adapt to and thrive in a quiet shared executive work space.
