About Corporate Affairs:
The Corporate Affairs Operating Unit is responsible for external engagement, internal and external communications, corporate philanthropy, and working with local, state and federal government officials on behalf of the company.
The Executive Assistants will perform advanced administrative support functions for the Vice President of Corporate Communications. The positions regularly handles confidential and sensitive information that has significant corporate and reputational impact.
The Executive Assistants reviews and processes incoming/outgoing communications, maintains corporate records, responds to or routes external and internal customer calls/inquiries, receives visitors, prepares and coordinates specific activities/reports through automated and/or manual methods, maintains/updates calendars, and coordinates meetings, including planning and event logistics.
The Executive Assistants may perform various invoice processing and procurement related activities on behalf of the executives whom the position supports, as well as data entry, timekeeping, and expense report submittals.
A day in the life…
Coordinate routine and executive-level meetings.
Interface with all levels of personnel, including senior management, external company executives, and their assistants.
Coordinate and prepare presentation material using PowerPoint.
Update reports and distribution lists.
Complete travel arrangements.
Process timekeeping, expense reports, credit card reconciliations, and office invoices.
Review and route incoming and outgoing correspondence including email and ensuring prioritization, review and response as appropriate.
Compose correspondence and other materials as requested.
Work with internal and external stakeholders for policy advocacy and coordinate speaking opportunities.
Draft, proofread, edit, and reformat presentations and reports (including charts and tables).
Coordinate large-scale executive-level meetings and events in excess of 100 people.
Handle multiple assignments with minimal supervision.
Handle highly confidential and sensitive information.
Maintain workflow when the senior vice president is out of the office.
Sort mail manage e-mail inbox.
Maintain calendar and office supplies, ensuring office aesthetics, and answer and route telephone calls appropriately.
Maintain a safety conscious work environment by following Edison safety protocols and safe work practices.
Perform other responsibilities and duties as assigned.
Qualifications you need…
Five years of experience performing advanced administrative, secretarial, and clerical functions.
Three years of experience supporting a director level or higher.

Willing and able to cover and support colleague-absences.
Experience managing executive level calendars, including coordinating, scheduling, and planning meetings, appointments, video conferencing, and using SharePoint Libraries
Experience in grasping the relationships of various discrete assignments and events with a view of taking necessary actions.
Experience organizing a heavy workload, being assertive, creative, working well under pressure, and performing tasks/assignments with minimal supervision and a high attention to detail and quality of work.
Experience working effectively and accurately on diverse and concurrent assignments in an environment with frequent interruptions, changing priorities, and tight operating deadlines.
Experience coordinating routine and executive-level meetings (tasks include setting-up video conferencing, conference calls, conference rooms, and presentations).
Experience processing timekeeping, expense reports, credit card reconciliations, office invoices, and other related documents/activities.
Experience using office productivity tools (e.g., Microsoft Office Suite) to gather information from multiple sources, convert documents from one format to another, and create/edit standard and non-standard reports, presentations, and/or products.
Experience working with office productivity peripherals, including telephones, voicemail, audio conferencing, printers, etc.
Demonstrated customer service orientation and a high degree of professional demeanor and decorum when interacting with others.
Excellent interpersonal and communication skills, both written and oral, to interface daily with all levels of employees, including senior management.
Ability to maintain the confidentiality of sensitive and confidential information.
Ability to follow Edison safety protocols and safe work practices.
Demonstrated ability to resolve complex administrative issues quickly and comprehensively; timely, responsive and respectful communications style; strong commitment to Teamwork; and an interest in working in a very fast-paced environment while in a role that serves as a hub among the key administrative functions of the operating unit.
