Job Responsibilities:


The DDS Companies is looking for an outgoing, friendly and reliable Receptionist for our main office in West Henrietta, NY. The receptionist is responsible for providing exemplary customer service in a friendly and professional manner. This role is also responsible for the operating a multi-line telephone system and directing callers to the appropriate personnel, in addition will have the overall management of the lobby area and graciously greeting visitors.

Job Duties:

  • Answer incoming telephone calls; determine purpose of callers, and forward calls to appropriate personnel or department.

  • Take and deliver messages or transfers calls to voice mail when appropriate personnel are unavailable.

  • Retrieve messages from voice mail and forward to appropriate personnel.

  • Answer questions about organization and provide callers with address, directions, and other information.

  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.

  • On daily basis receive, sort, and route mail.

  • Receive incoming packages & parcels. Contact person to who package is addressed.

  • Prepare labels and postage for outgoing packages as requested. Contact agents for pickup if needed.

  • Send, retrieve and route fax communications.

  • Perform other clerical duties that can be performed at the reception desk as needed.

Job Qualifications:

Required Skills and Abilities:

  • High school diploma or GED required; college coursework or degree/certificate from college or technical school preferred; one year related experience; or equivalent combination of education and experience.

  • Knowledge and experience utilizing MS Word and Excel, Outlook, etc.

  • Prior experience answering multi-line phone systems.

  • Ability to provide outstanding customer service
