Position Specific Description Manatee Lagoon is searching for an event planner to promote and manage space rental business at the environmental education center located in Riviera Beach, FL. Individual will be responsible for managing the client relationship from first point of contact all the way through event completion and final billing. Individual will also coordinate flawless execution of parking, security, facilities maintenance, set-up and break-down vendors associated with events.

Specific responsibilities include:

  • Working with groups to help them plan their events, including room set-up and production details
  • Gather necessary contracts, deposits, and final payments and work with Manatee Lagoon team to ensure safekeeping and related accounting processes are followed
  • Organize facilities and work with special event planner/caterer to coordinate event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material
  • Coordinate and distribute master event calendar showing all confirmed and/tentative events for following week/month for internal audiences at Manatee Lagoon and FPL
  • Propose ideas to improve provided services and event quality
  • Ensure compliance with insurance, legal, health and safety obligations
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Conduct pre- and post – event evaluations and report on outcomes
  • Work closely with Manatee Lagoon manager and pr/marketing team to build special event business, including market research, related trade association involvement, Manatee Lagoon representation externally
  • Gather and maintain all documents related to event bookings in compliance with NEE’s retention policies
  • Track catering/special event vendor commission checks to ensure they are being paid in accurate and timely manner
  • Work with center manager and coordinator to handle transition to new ECommerce platform (August 1, 2019 target date) and ensure processes are in place and followed
  • Work with center manager and communications manager to market the space and to represent the space as Manatee Lagoon ambassador at trade industry, Discover the Palm Beaches meetings

Successful candidate in this role should have:

  • Proven experience as an events planner or organizer
  • Flexible schedule required. 40+ hour week, including evening and weekend events as necessary and scheduled
  • Impressive portfolio of previously managed events (weddings, meetings, parties, corporate events)
  • Excellent time management and communication skills
  • Sales skills and ability to build productive business relationships
  • Ability to manage multiple projects independently
  • MS Office proficiency

Job Duties & Responsibilities

  • Evaluates requests for company investment/involvement and provide recommendations
  • Supervises charitable contribution payment approval, accounting and processing
  • Implements and supervises employee volunteerism policies and processes
  • Supervises community involvement programs and foundation programs
  • Provides research, analysis, and planning assistance of all community involvement efforts
  • Maximizes positive visibility and impact through cost-effective promotion and communication
  • Coordinates responses to community requests for charitable and community involvement
  • Supervises the collection and reporting of information on community involvement efforts
  • Performs other job-related duties as assigned Required Qualifications
