ElectriCities of North Carolina Events Project Manager in Raleigh, North Carolina

Overview

The Member Services and Corporate Planning Division is responsible for leading long-term corporate planning efforts for the company and providing value-added services to ElectriCities Members. The Division is responsible for assessing members’ ability to provide competitive retail offerings and identifying strategic areas of need for the members within these offerings. The Division monitors the effectiveness of our members’ retail offerings through a variety of surveys and data collection. The Division develops and deploys programs to augment the efforts of the members where there are gaps. The Division advocates for action among the members through strategic messaging that is conveyed through conferences, training, regional meetings, and other outreach.

The Programs & Services Department manages a variety of programs delivered directly to our members. The department also administers broader association services for members including conferences and member engagement activities. This position is responsible for providing quality, engaging conferences and educational events that develop the staff and leadership in municipalities across NC, SC, and VA.

Responsibilities

  • This position will play an integral role in the planning, logistical management, and execution of ElectriCities Annual Conference, Connections Summit, Regional Meetings and other meetings and events relevant to our membership

  • Project Manager of meetings and events while collaborating with the team to conceptualize needs, plan and execute the desired vision and goals for events

  • Work within our Association Management System software to set-up conferences, help maintain up-to-date contact information, and assist with conference development process

  • This position provides extensive customer service to members, speakers, participants, and staff who have a wide range of content, logistical needs, and requests

  • Coordinates collection of RFPs for hotels, restaurants and vendor services, negotiates contracts for services, and makes recommendations

  • Sources and negotiates contracts with hotels, restaurants and vendors and follows through to completion

  • Provides planning, logistics and execution for assigned meetings including, but not limited to food/beverage, audio visual, and hotel arrangements within budget

  • Provides support for event budget preparation and tracking reports

  • Prepare banquet orders and resumes for assigned events

  • Coordinates internal communications with Events team members

  • Work to improve or develop new strategies for conferences regarding sponsors, marketing, agenda management and other processes

  • Views oneself as a reflection of the organization by following through on commitments and accepting ownership

  • Financial accountability for all meeting invoices pertaining to hotel bills

  • Willingness to perform additional related duties as required or assigned

    Controls

    The Events Project Manager works under the general supervision and guidance of the Manager, Programs & Services, who reviews the employee’s work performance under ElectriCities’ guidelines in terms of overall effectiveness and provides professional guidance as needed. Time sheets, vacation time, sick leave, etc. will be reviewed and approved by the Manager, Programs & Services.

    Physical Requirements

    The Events Project Manager must maintain the physical condition necessary to perform tasks in an office setting such as operating a personal computer, keyboards, and other peripheral equipment. Some overnight travel is required for site visits, conference coordination, etc. (usually 8 - 12 nights per year).

Qualifications

  • Bachelor’s degree in business, marketing, or relevant degree or equivalent work experience required.

  • 3 to 5 years’ experience with managing events, or project management required, a Project Management Professional Certification is preferred.

  • Must display a high level of accountability, taking responsibility for individual actions, and the impact on the organization.

  • Possess excellent communication skills, the ability to support different work groups with their event needs and meet business objectives.

  • Excels in a team-oriented environment and comfortable working with internal and external team members, and vendors.

  • Willing to accept responsibility and be capable of working on his/her own initiative with minimal supervision.
