Summary

The Material & Services Coordinator Sr will provide training and technical support to Material Coordinators and other personnel in the use of MLIS, MAXIMO, EMAN and APS accounting systems and principals. Research and determine availability and establish priority of material/equipment to satisfy customer needs. Coordinate delivery and scheduling of materials for construction and maintenance projects and complete appropriate related accounting transactions. Accountable for ordering, scheduling and forecasting material and/or services for construction / maintenance projects. May issue/receive material for APS material used on construction jobs. Identify shortages and special material requirements; schedule deliveries to eliminate project delays. Prepare required documentation to track cost, discrepancies, and special needs. Perform technical support to verify, analyze and reconcile materials and major equipment to account for quantities, cost and equipment identification. Perform special projects regarding warehouse and inventory issues as requested by management.

Minimum Requirements

  • High school diploma or GED.

  • Advanced knowledge and expertise in Materials / Services Coordination activities and computer systems gained through related course work and on the job experience. Math skills that include the ability to apply basic algebraic formulas.

  • Good working knowledge of contract procedures and construction and maintenance practices/standards/specifications.

  • Advanced knowledge and expertise utilizing APS accounting and inventory computer systems, principles and procedures.

  • Advanced expertise in the utilization of EMAN, MLIS, MAXIMO and MS Office products such as Access Query tools.

  • Must be able to interface and communicate effectively with people. Requires specialized knowledge of the materials and equipment utilized in the assigned functional area.

    This position may require access to and/or use of information subject to control under the Department of Energy's Part 810 Regulations (10 CFR Part 810), the Export Administration Regulations (EAR) (15 CFR Parts 730 through 774), or the International Traffic in Arms Regulations (ITAR) (22 CFR Chapter I, Subchapter M Part 120 ) (collectively, U.S. Export Control Laws).

Major Accountabilities

1) Provide training and technical support to other personnel in the utilization of MLIS, MAXIMO, Decision Support, work processes and APS accounting systems and principals. Coordinate with warehouse personnel to ensure transfer and direct buy levels meet Material Request demands. Plan, order, and ensure required materials are in the storeroom. Prepare all documentation to issue and receive material for contract jobs, and to track costs.

2) Investigate and maintain accurate information on equipment and materials in MLIS, MAXIMO and Decision Support computer databases.

3) Approve and monitor material requested for construction/maintenance projects and expedite critical material needed to meet project completion dates.

4) Identify material shortages and take required steps to expedite and eliminate delays. Serve as liaison between the Warehouse, Hauling, external transportation agents, Reclamation and Users. Ensure accurate and timely deliveries to the warehouse and job sites.

5) Provide cost management information to management to assist in meeting Capital and O&M budget goals.

6) Perform special projects regarding warehouse and inventory issues as requested by management.

7) Research and resolve material discrepancies for specific projects and jobs. Complete journal vouchers assuring that charges are correctly distributed.

8) Effectively interface with various departments/contractors to ensure conflicts are resolved in a timely and cost effective manner.

9) Organize/support monthly safety meetings and quarterly safety stand downs.
