Supervisor, Cash Management
Oversee and coordinate the Company’s daily cash processes and duties including, but not limited to, daily bank entries, daily balancing, and daily bank reconciliations. Daily cash balances can approach $200.0 million.
Responsible for the approval of daily bank transaction entries including receipts and disbursements and working with bank personnel to obtain additional information, as needed.
Assign work to direct reports and supervises the initiation and validation of wire transfers and electronic funds transfers valued from nominal amounts to multi-million dollar levels.
Monitor the Company’s daily cash position and is responsible for cash reporting.
Oversee, coordinate, and verify all cash related general ledger account analyses are prepared accurately and submitted timely. This includes follow-up to ensure that necessary correcting adjustment journal entries are made timely.
Perform as a secondary administrator for all bank accounts.
Validate/calculate monthly pension benefit calculations of employees or prospective retirees; oversees retiree payroll changes; and verifies death audit results on a quarterly basis.
Responsible for recording and inter-communication of retiree deaths, changes of address, and other related retiree record changes with all relevant parties.
Supervise and coordinate the process of recording Other Accounts Receivable (OAR) for both existing and current transactions on Treasury documents and in the Oracle Projects module.
Organize and oversee monthly OAR meetings with Treasury, Risk Management, Field Services, and Distribution departments.
Maintain PGW’s $120.0 million Tax Exempt Commercial Paper (TXCP) Program records including, but not limited to, transaction schedules, interest schedules, journal entries and reviewing and processing invoices.
Coordinate with the Supervisor, Financial Reporting and Manager, Financial Reporting (Accounting & Reporting Department) to identify and correct unknown bank deposits and charges, including any bank statement to general ledger differences in compliance with the monthly Bank Reconciliation Audit procedure.
Organize and oversee recurring biweekly bank reconciliation meetings to discuss bank reconciliation matters.
Coordinate with the Supervisor, Financial Reporting (Accounting & Reporting Department) to fund and remove escheated items from the bank’s outstanding lists for all PGW checking accounts.
Responsible for the supervision of the Company’s Cash Room and ad hoc/weekly/month-end balancing of petty cash funds, along with weekly bank deposits for the Treasury Department and related OARs.
Perform Petty Cash audits for all departments holding a petty cash fund.
Responsible for the preparation and completion of monthly journal entries, account analysis, and Letter of Credit (LOC) reporting requirements.
Act as backup to the Supervisor, Accounts Payable and Payroll in their absence.
Act as backup to the Cash Manager in their absence.
Address customer needs and resolves issues affecting customer satisfaction ensuring they are answered within the goals of the department.
Coordinate work activities by developing project timelines and milestones, analyzing impact, determining priorities of activities, making work assignments, monitoring projects, and providing direction and assistance as needed.
Assess employee needs ensuring subordinates are properly trained and adhere to company policies, practices and procedures including collective bargaining agreement when applicable.
Evaluate and meets with subordinates to discuss work performance providing appropriate commendations and disciplinary actions to ensure employees are well equipped to meet and/or exceed job expectations.
Perform process evaluations for merit and progression increases.
Finance & Accounting
Participate in the annual budget preparation process as needed or requested.
Prepare and assigns request for internal and external audits.
Other Related Functions
Maintain up to date knowledge of current tax, pension and related accounting regulations and standards; ensures unit is up-to-date and processing information in accordance with federal, state and local regulations.
Assist with the implementation and maintenance of treasury workstations, bank software, and/or other treasury related technology.
Performs other special projects and assignments as directed.
Bachelor’s Degree in Accounting, Finance, Business Management, or other related area
1 – 3 years related experience recording cash disbursements, distributing checks, processing tax payments, processing account receivables, maintaining pension files, maintaining deferred compensation files, performing accounts analysis and maintaining the petty cash fund.
Must have supervisory skills with the ability to create a professional and constructive environment that fosters a team-oriented and customer service approach to day-to-day operations.
Must be able to communicate clearly and persuasively to management, union and employees regarding customer service initiatives, issues and problems.
Must have strong writing skills sufficient to effectively communicate with both internal and external contacts.
Must have analytical skills with the ability to produce detailed verbal and written financial reports/statements
Must be familiar with Accounting Software packages, preferable Oracle Financials.
Must be able to calculate the results of complex financial transactions to verify the actual results to ensure PGW receives and/or pays proper amounts for these transactions.
Should be familiar with the City of Philadelphia investment policy and should be able to calculate related interest income, interest receivable, premiums, and discounts.
Should be familiar with GAAP and GASB pronouncements to assist in the completion of assigned notes to the financial statements.
Residency Requirement: All employees of the Philadelphia Gas Works (PGW) must live in the City of Philadelphia for the duration of their employment. If a candidate does not live in the City of Philadelphia at the time of hire, he/she must move into the city within twelve (12) months of his/her hire date.
