Administrative Assistant
This is a temp to permanent vacancy
The Administrative Assistant support position provides assistance to the departmental management team by performing duties such as conducting research, preparing statistical reports, handling information requests, and performing general clerical functions. The Administrative Assistant will handle confidential assignments and information, and will frequently assist in the execution and oversight of projects. The Administrative Assistant identifies, plans and implements objectives set by the Vice President to ensure the organization’s overall effectiveness.
Answer, screen and maintain log of incoming calls; research and resolve minor complaints; refer more complex issues to appropriate personnel; follow-up to ensure incoming issues have been properly addressed and resolved.
Assist department management team as requested with:
Preparation of various forms, papers, documents, correspondences, etc.
Scheduling meetings, conferences, and business trips
Coordinating vendor services; establishing positive and productive relationships with vendors and other contacts
Maintaining accurate electronic and manual files of required and historical documentation of departmental activities
Assist in the research and development of special reports, analysis and presentation of information and management of data to support departmental operations; prepares necessary information to respond to all inquiries and submits detailed reports and findings.
Maintain adequate office supplies such as pens, tape, copier/fax toner ink, etc. are readily available; keeps all supplies in secure area; orders as needed and requested.
Coordinate intra-departmental communication processes ensuring positive up and down communications throughout the department.
Assist in the coordination of departmental outreach campaigns and joint efforts with external departments’ event planning.
Assemble and reproduce attendance records for distribution to coordinators within the division for their reconciliation.
Track, report and follows up timely on matters associated with correspondence sent to employees within the division.
Attend various intra-departmental meetings as requested in order to maintain a keen awareness of all day-to-day operations; prepare written and verbal summary reports for Vice President as necessary.
Perform other special projects and assignments as directed.
High School Diploma/GED required. Bachelor`s degree and/or Certification in Office Practices is preferred
2 to 3 years general office practices preferably in a utility services environment
Good mathematical/problem solving skills with the ability to apply learned mathematical skills to business processes in order to process purchase orders, review budget information, etc.
Excellent verbal and written communications skill's ability to build long-term constructive and cooperative working relationships with co-workers, vendors, management, and outside agencies
Excellent administrative and organizational skills with the ability to handle multiple projects and work independently
Excellent troubleshooting and follow-up skills with the ability to identify problematic situations and resolve
Excellent knowledge of general office procedures, systems, and terminology such as word processing, managing files and records, faxing, copying, scheduling, e-mail, and etc.
Excellent documentation and record-keeping skills with the ability to compile, review and data enter a variety of information manually and electronically and in compliance with corporate policy.
Customer-service oriented approach to taking on daily tasks and personal interactions
Proficient in the use of Microsoft Excel, Microsoft Word, Microsoft Outlook, and accounting software such as Oracle, Quicken, etc.
Ability to pass computer based clerical test administered by the Human Resources Department.
