Administers, with minimum guidance, the activities of the Executive Vice President & Chief Operating Officer, the Executive Vice President Member Relations, and the Senior Vice President of External Affairs. Communicates with the Board of Directors, Group/Staff Executives, and Managers, EMC Managers, and others, as appropriate. Handles confidential information with discretion and operates with latitude for independent judgment and initiative. Analyzes office procedures and develops/implements plans to improve efficiency

Job Duties:

  • Performs confidential administrative and secretarial functions for Exec. VP & Chief Operating Officer, Exec. VP Member Relations, Sr VP External Affairs, and other staff as necessary. Conducts research and data gathering as necessary.

  • Manages the daily work schedule, including prioritizing and scheduling calendars for the above executives and assigns and schedules items requiring action by the respective executives. Manages (daily) and distributes (weekly) the Corporate Plane schedule. Screens and prioritizes internal and external telephone calls and correspondence for the above executives. Arranges air travel, hotel, and ground transportation logistics, as well as setting up internal and external meetings, as required. Prepares accurate expense accounts and other reports as required.

  • Responsible for the preparation of the annual budget, monitors budget and processes invoices for payment.

  • Works with other staff assistants and ensures that all administrative and secretarial duties are performed in accordance with corporate policies and procedures.

  • Prepares and submits state and federal regulatory ethics disclosures for the SVP, External Affairs.

  • All other duties as requested by Executive management.

    Required Qualifications:

    Education : Associate's Degree in Business Administration.

    Experience : Eight years' experience in administrative support to an executive level position and a general knowledge of management

    Equivalent Experience : Fifteen years' of executive administrative support.

    Specialized Skills: Ability to handle confidential information with discretion; strong people skills; strong written and verbal communication skills, strong organization and time management skills; ability to take and transcribe dictation; computer proficiency in Word, PowerPoint and Excel. Must have good analytical skills for preparing reports, budgets and special projects; knowledge of other general office equipment; and strong knowledge of Corporate Policies and Procedures. Must have above average attention to detail and the ability to create, review and submit reports. Notary public license (Georgia) preferred.
