This position provides administrative support to the Controller, Assistant Controller, Manager of Compliance and Special Projects, Manager of Fixed Asset Accounting, and Manager of SEC Reports and Controller's Group and Tax Associates (supporting a total of up to 25 people indirectly).

Job Duties:

  • Handles confidential information with discretion and operates with latitude for independent judgment and initiative.

  • Analyzes office procedures and processes and develops and implements plans to improve overall effectiveness.

  • Assists in the performance of accounting-related duties as assigned.

  • Provides confidential administrative functions for the Controller with delegated responsibility. Implements special projects as directed.

  • Coordinates meetings, conferences, teleconferences, and travel; prepares contract number requests, department payment vouchers, and wire transfers; assists in the preparation and proofing of audit committee and SEC disclosure presentation materials; maintains and supports the filing of SEC documents, assists with departmental budget preparation and updates; and assists with the maintenance of the departmental business continuity plan.

  • Supports various activities to ensure effective and efficient departmental operations, including assistance to the departmental accountants. Responsibilities include, but are not limited to, collection of monthly journal entries for the department, maintaining monthly journal entry binders and quarterly account reconciliation binders; coordinating materials sent to Records and those kept in the department records area; maintaining and orders office supplies; routes incoming mail; assists in the maintenance of the departmental SharePoint site; assists with external auditor requests, including security access; coordination of facility services requests; and onboarding of new associates.

  • Prepares assigned monthly and ad hoc journal entries in an accurate and timely manner by departmental standards. Assists with the preparation of account reconciliations and other accounting-related activities (e.g., preparation and tracking of miscellaneous invoices to outside parties) as required.

  • Provides confidential administrative functions for the Assistant Controller and the Manager of Business Compliance and Special Projects and other department managers as needed. Coordinates the monthly distribution of the RUS Form 12a.

  • Assembles meeting materials for the monthly financial review meetings. Assembles monthly Asset Management Report and sends to the corporate-wide distribution list. Creates binders for each Internal Control Steering Committee and CEO/CFO Certification Meeting, coordinating material collection, printing, and binder creation. Prepares the annual capital credit allocation (OPC-GTC-GSOC and Smarr and Sewell Creek) memorandums to the EMCs to be downloaded to MemberNet.

    Required Qualifications:

    Education : B.S., Business Administration; A.A., Business Education

    Experience : Minimum six years of secretarial and administrative experience and a general knowledge of management.

    Equivalent Experience : High school with ten years of secretarial and administrative experience.

    Specialized Skills : Strong verbal and written communication skills. Ability to compose communications with correct grammar, spelling, and punctuation skills. Excellent organization and time management skills. Computer proficiency (Word, Excel, Outlook, and PowerPoint). Good analytical skills. Strong people and customer service skills. Ability to analyze and improve office procedures and processes.

    Licenses, Registrations, and/or Certifications : Preference will be given to Certified Administrative Professional (CAP), Certified Administrative Assistant (CAA)
