The Executive Administration Assistant is a newly created role and will report directly to the Executive Assistant to the President & CEO. This role will provide scheduling and administrative support to a number of Executives and the Executive Assistant to the President & CEO
General Administrative support for the Executive Leadership Team (calendar management, expenses, timesheets, travel, weekly meetings, courier, contact lists, office supplies, etc.)
Assist with developing presentations & documentation, and coordinate approvals and follow-ups as required
Working with the hiring manager to support and coordination and on boarding of new employees
Administrative back-up to the Executive Assistant to the President & CEO, as required
Meetings- Organize meetings: including scheduling, sending reminders, and organizing catering when necessary – Attend meetings as required, and be responsible for issue/action lists and meeting minutes when required.
Proactively manage various calendars simultaneously, including making appointments and prioritizing the most sensitive matters
Travel: Coordinate and manage complex travel arrangements
Event Management: Plan, coordinate and execute various events/meetings e.g. weekly update meeting, team meetings, etc.
Develop and manage an efficient documentation and filing system (electronically and paper)
Track and Maintain material agreements and other documents as required
Assist with document preparation, as required. Including: decision support documentation, project tracking, correspondence, presentations, and reporting. Assisting in writing, organizing, compiling, revising, filing and distribution of documents.
Education & Experience
Demonstrated 5 years of progressive administrative experience required; direct experience supporting an Executive is preferred
Advanced knowledge of Microsoft Word, Excel, PowerPoint and Outlook
Ability to troubleshoot IT issues & social media savvy
Proven success in a high volume work and shifting priority environment
Methodical; ability to plan and organize with strong attention to detail
Sensitivity to confidential information
