Department Overview

The mission of Information & Records Governance is to drive the reliability, availability, and compliance of PG&E’s information and records assets by providing transparent governance, consultation, and practical tools

Position Summary

The successful candidate will lead the Retention Schedule Program, an enterprise compliance program with broad reach and relevance across PG&E. The program lead provides program management, change leadership and consulting to Functional Area partners. The program lead performs functions to maintain current, accurate and clear guidance on retention requirements that apply to all record types relevant to PG&E’s work processes. A primary function is defining, facilitating, performing and documenting analysis on regulatory, legal and business drivers for retention periods.

The Retention Schedule Program lead is a key partner and contributor to the Information Lifecycle Program. In that capacity, the successful candidate will have a unique opportunity to learn about data disposition concepts and practices, to engage with a broad cross-functional stakeholder team, and to contribute to the growth of a visible and consequential enterprise program.

This position is hybrid, working from your remote office and your assigned work location based on business need.

PG&E is providing the salary range that the company in good faith believes it might pay for this position at the time of the job posting. This compensation range is specific to the locality of the job. The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity.

A reasonable salary range is:

Bay Area Minimum: $114,000

Bay Area Maximum: $182,000

Job Responsibilities

  • Designs and leads risk and compliance activities and projects, specifically the Retention Schedule Program.

  • Applies advanced knowledge to administer and maintain the Information & Records Retention Schedule.

  • Develops and implements process improvements to establish clear, consistent documentation practices around decisions to change the Retention Schedule. Evaluates historic Retention Schedule documentation relative to process improvements, remediates issues.

  • Takes initiative to identify and understand changing legal, regulatory and business requirements and to identify gaps and issues in the Retention Schedule. Performs due diligence prior to any change to guidance (e.g. unintended consequences, impacted stakeholders). Develops solutions.

  • Facilitates change requests to the Retention Schedule, responding to Functional Areas needs.

  • Leverages cross-functional working relationships, defining research needs in collaboration with Functional Area record owners, internal subject matter experts and stakeholder and external counsel.

  • Supports information lifecycle program and data disposition project by reviewing existing and adding examples to retention categories for user clarity, advising on whether a Functional Area should initiate a change request.

  • Manages performance management tools and measurements, including key program performance indicators.

  • Works with all levels of leadership (up to and including VP) across functions to influence decisions around records retention and data disposition.

  • Develops training and educational materials.

Qualifications

Minimum:

  • 6 years of related experience in records management or applicable experience

  • Bachelor’s degree in business, finance, economics, accounting, public policy, library and information systems, information technology, legal studies, or related discipline; or equivalent experience

Desired:

  • Master’s degree in business, finance, economics, accounting, public policy, library and information systems, information technology, legal studies, or related discipline; or equivalent experience

  • Experience with retention schedule development and management, including the use of retention schedule software.

  • Experience managing projects of some complexity with minimal supervision.

  • Excellent analytical and problem-solving skills.

  • Knowledge of ARMA International's Information Governance Maturity Model (IGMM), The Principles, US DOD 5015.02, ISO 15489, and other relevant RIM industry guidelines.

  • CRM, IGP, or related information governance certification.

  • Utility and/or construction company experience.

  • Ability to effectively interact with all levels of management, employees and customers/vendors of diverse populations.

  • Excellent verbal and written communication, interpersonal and influence skills.
