Administrative Assistant

Job Description:

Types and proofs department reports, filings with governmental agencies, etc. May assist in the compiling of data for department reports. Regularly gathers routine oral information from (or make oral requests of) other administrative, maintenance, or clerical employees and/or outside vendors, customers, or the public. Maintains department files (Company reports, records, documents, work orders, purchasing documents, vendor invoices, etc.). Create purchase orders and blanket releases for material and services procured through Oracle for department. Schedules tentative appointments for approval by manager, and may schedule group meetings per direction of manager. Answers telephones, screens calls for managers and responds to routine questions. Reads mail, highlights action or important items, and attaches relevant files or information for manager's review. Responds to routine correspondence under own signature or drafts response for manager's review. Follows up on items delegated by manager to others. Responsible for cash or negotiable instruments, confidential records or reports, or departmental equipment. Requisitions and maintains office supplies for department. Makes travel arrangements. Performs other duties as assigned.

Preferred Qualifications:

Receives general instructions. Sets priorities and procedures for accomplishing work. Work is generally varied with administrative or project-oriented tasks and may require the ability to train or lead others. Performs considerable coordination and follow-through.

Required Education & Experience:

Operates stand-alone word processors, personal computers or CRTs to perform the full scope of word processing applications, including merge-mail letters as well as documents containing complex financial or statistical data or scientific, technical, or legal terminology. May enter and manipulate data on spreadsheet, data base, or file management programs. Collects and compiles data from several sources of information. May perform a variety of calculations. (External hires must have five or more years secretarial experience or a combination of formal training and experience).
