The Records Management Specialist is responsible for assisting the Records Management Manager in developing and managing the overall PSEG’s Records Management Program including strategy, policies and practices designed to meet the Company’s business goals and compliance objective. This position will have responsibility for establishing and maintaining the governance structure for the Records Management Program including training and education, coordinating with business groups across the Enterprise regarding the Records Management Program, making determinations relating to interpretation of policies and the proper transfer, storage and destruction of records and implementing Records Management Program on a day-to-day basis. In addition, this position will be responsible for the administration and enforcement of the Enterprise records retention schedule in coordination with relevant functions across the Enterprise, including Information Technology, Compliance and the records coordinators in the various lines of business.

Responsibilities include:

  • Under the supervision of the Records Management Manager, assist with developing and implementing the overall Records Management Program including policies, procedures and processes. Assist with training employees across the Enterprise and schedule regular meetings with record coordinators.

  • Assist with maintaining and updating the Enterprise Records Retention Schedule for all corporate records. Manage the enforcement of the Records Retention Schedule by coordinating with relevant functions across the Enterprise including Information Technology, Compliance and the various lines of business. Work with attorneys and records coordinators to ensure that the Records Retention Schedule is kept up-to-date in compliance with regulatory requirements.

  • Manage and direct the operation of on-site and off-site physical records storage, and make determinations and provide guidance on the proper transfer, storage, retention and destruction of records in compliance with Records Management policies. Manage and oversee Records Management retrieval of records, as appropriate, to meet requests for documentation and provide assistance as needed.

  • Communicate Records Management Program strategy and service and, assist with conducting general awareness education.

  • Act as consultant to internal end users and coordinate with internal functions on issues relating to the Records Management Program.

Basic Qualifications:

  • BA degree from an accredited college/university

  • 5 -7 years of experience in information and records management. Without a college degree 9 or more years of such experience

Required Skills, Competencies, Education or Experience:

  • Knowledge and experience related to records, information management functions, and of the underlying technical aspects

  • Knowledge regarding creating and maintaining databases

  • Knowledge of enterprise and content management systems

  • Ability to understand clients business requirements and identify information critical, necessary and useful to the organization which needs to be documented or maintained

  • Strong oral and written communication skills and detailed oriented

  • Ability to communicate with all levels of the organization

  • Proficient in MS Office Products

Desired Skills, Competencies, Education or Experience:

  • Technical writing experience

  • Project management skills

  • Experience with Adobe publishing products

  • Knowledge of technology applications for records retention

  • Experience in taxonomy development and classification schemes

  • Knowledge of web-page development and design
