Job Title: Document Controls Analyst

This position will be filled as an Analyst I, II, III or senior based on the skills and qualifications of the selected candidate

JOB SUMMARY/PURPOSE

Supports Power Delivery on Mega Projects as well as other departments as they relate to the Document Management System of Record. Responsible for technical support for Engineering Document Management and Drafting applications. Maintains systems for the collection, classification, retrieval and retention of records, images, documents and information. Provides analytical expertise to support project and portfolio management.

JOB DUTIES/RESPONSIBILITIES

  • Displays a solid understanding of Document Management System.

  • Demonstrate commitment to safety through active participation in safety meetings, safety inspections and field observations where applicable

  • Aggregates, classifies and maintains physical and digital documentation, applying policies and parameters of retention.

  • Maintains the flow of technical, administrative and contractual information generated throughout projects consistent with organization standards and internal user requirements

  • Compiles and issues technical reports of business units in accordance with documentation standards.

  • Ensures relevant business units and teams follow the organization's policies and procedures with regards to documentation control.

  • Participates in providing input to documentation standards and processes.

  • Interfaces with internal and external project team (s) as necessary for Document Controls monitoring, analysis, and reporting. Provides day-to-day detailed monitoring and analysis of the project status. Updates and maintains project files in the document management system of record.

  • Tracks & trends monthly external contract performance.

  • Support document workflow processes and drawing transfers for all Meridian users.

  • Support Meridian Web Workflow Client & Web Explorer application users.

  • Support AutoCAD menus, blocks, and programs for Power Delivery Engineering.

  • Demonstrates very good documentation, technical writing, and organization skills to effectively control documents.

MINIMUM REQUIREMENTS

Minimum Education Required for the Position

  • Bachelor's Degree in a technical or business-related field required or equivalent work experience.

Minimum experience required of the position.

  • Analyst I -0-2 years of professional experience.

  • Analyst II - 2-4 years of professional experience

  • Analyst III - 4-6 years of professional experience.

  • Analyst Sr - At least 6 years of professional experience.

  • 2 years of analytical/technical/systems experience

  • 2 years of administration of any document management system/application

Minimum knowledge, skills, and abilities required of the position.

  • Understanding of contracting strategies and project schedule impact.

  • Thorough understanding of procedures, programs, and standards commensurate with analyst progression level.

  • Strong analytical and problem-solving skills.

  • Technical mastery with computer analysis, development, modeling, and/or databases; in-depth knowledge of procedures, programs, and standards in responsible areas.

  • Very knowledgeable with engineering/business aspects relevant to the applied subject area/discipline of the end user

  • Proven ability to work effectively within a multiple project environment to provide document management services to multiple teams.

  • Ability to train others on the setup and use of document control systems.

  • Analytical and Expert Desktop Computer Skill set with Advance knowledge of Microsoft toolkit, AutoCAD (and related products), Document management software

  • Excellent Communication Skills; Experienced using technology.

Preferred:

  • Expert in computer analysis, development, modeling, and/or databases; in-depth knowledge of procedures, programs, and standards in responsible areas.

  • Previous experience with any Document Management System, working knowledge of BlueCielo Meridian and AutoCAD is strongly desired.

  • Familiarity with data visualization tools: Knowledge of data visualization tools such as Power BI, SharePoint or other similar software is preferred.
