This position is responsible for supporting the estimating and project management team for our Deep Foundations Division with administrative related functions while managing daily operations of the office. The abilities to multitask, prioritize and maintain stringent organization are critical to success.
The essential duties and responsibilities of the position include, but not limited to:
Analyze and organize office operations and procedures such as preparation of information management, security cards, filing systems, requisition of supplies, and other clerical services.
Manage outside vendors, ensuring cleaning, exterminators, and other services are rendered.
Coordinate activities needed to support and administer all phases of construction contracts, including bidding, awarding and closing the job.
Download plans and specifications.
Answer telephones and greet and direct visitors.
Organizing and sorting incoming and outgoing mail.
Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
Prepare reports for guidance of management.
Plan office layout, develop office budget, and initiate cost reduction programs.
Work with corporate and divisional support on a variety of clerical related tasks.
Other duties as assigned.
Qualified candidates must have Associate’s Degree or 2-5 years of related construction administrative experience, or an equivalent combination of education and experience. Applicants must have demonstrated proficiency utilizing Microsoft Office. Progressively responsible administrative experience is preferred. Other qualifications include effective oral and written communication skills, attention to detail, organizational skills and ability to multitask.
