Position Specific Description

We are in search of a dynamic Executive Assistant to provide administrative support to a Business Unit Vice President whose focus is challenging, cutting edge growth initiatives for the company. In this fast paced role you will be responsible for a wide range of tasks with varying priorities including but not limited to, organizing travel and accommodations, managing schedules and appointments, prioritizing messages and correspondence, scheduling conference calls and meetings with both internal and external parties, expense reporting as well as other general office administrative duties. The ideal candidate will have a detailed understanding of the full Microsoft Office suite, be diligent at solving problems, strong attention to detail, experience interacting with top level executives both internally and externally, must exercise high level of confidentiality, demonstrate superior communication skills (both written and verbal), have a bias for action and a positive attitude.

This position provides senior level administrative support to the VP Development and is responsible for a wide range of tasks with varying priorities including assembling and coordinating production of corporate documents including use of Excel and PowerPoint software, managing and prioritizing messages and correspondence, scheduling conference calls and meetings, managing schedules and appointments, arranging travel, preparing itineraries, projects and being responsible for other general office administrative duties. The qualified candidate must have strong attention to detail, ability to thrive in a fast paced working environment, experience interacting with top level executives both internally and externally, must exercise high level of confidentiality, demonstrate superior communication skills (both written and verbal), have a bias for action and consistent execution, ability to prioritize, agility, and a positive attitude.

We are seeking a highly organized individual who possesses detail-oriented work habits and is able to function seamlessly as a critical team member and with limited direction.

Responsibilities will include, but not limited to:

  • Communicate effectively with senior executives

  • Balance multiple priorities

  • Problem solve/solutions-oriented

  • Accurately maintain Executive’s Calendar

  • Execute on projects using Excel and PowerPoint software

  • Manage and prioritize phone and email messages

  • Play the lead role in coordinating all aspects of meetings (attendees, meeting space, supplies, refreshments)

  • Create / assist with all correspondence (letters, email, etc.…)

  • Schedule all conference calls and meetings

  • Actively manage multiple schedules and appointments

  • Arrange travel & prepare itineraries

  • General office administrative duties

  • Coordinate support with the team of other administrative professionals

  • Proactively complete miscellaneous tasks as assigned.
