POSITION OVERVIEW

Our office in Johnson City, TX is currently seeking an experienced Office Administrator to provide administrative support to the Vice President of Operations.

Essential Duties and Responsibilities:

  • Meet and greet visitors and answer all incoming calls promptly in a pleasant, professional, and courteous manner.

  • Book travel and accommodations as needed for senior leadership

  • Assist with and submit expense/accounting reports as needed in a timely manner

  • Ensure all calls are routed to the appropriate individual and take accurate messages. Provide urgency to calls as needed.

  • Exercise judgment and discretion in handling requests for appointments and telephone calls.

  • Coordinate meetings including but not limited to preparing and distributing agendas and other meeting materials, reserve and prepare facilities, and update meeting room calendars as needed.

  • Perform general clerical duties including but not limited to filing, photocopying, scanning, and mailing.

  • Proactively establish communication to the office regarding facilities needs or emergency needs.

  • May be involved in ordering, stocking and distributing office supplies.

  • Perform other duties and projects as assigned.

Preferred Qualifications and Experience:

  • Punctuality and regular attendance, ability to work with minimum supervision are key requirements

  • Proficiency in Microsoft Office (including Word, Excel, Outlook)

  • Excellent communication skills (written and oral) and professional demeanor

  • Previous executive assistant experience is preferred

  • 2+ years of clerical/administrative experience is required

  • Must have flexibility to work in a fast-paced fluid environment and multi-task
