Our office in Johnson City, TX is currently seeking an experienced Office Administrator to provide administrative support to the Vice President of Operations.
Essential Duties and Responsibilities:
Meet and greet visitors and answer all incoming calls promptly in a pleasant, professional, and courteous manner.
Book travel and accommodations as needed for senior leadership
Assist with and submit expense/accounting reports as needed in a timely manner
Ensure all calls are routed to the appropriate individual and take accurate messages. Provide urgency to calls as needed.
Exercise judgment and discretion in handling requests for appointments and telephone calls.
Coordinate meetings including but not limited to preparing and distributing agendas and other meeting materials, reserve and prepare facilities, and update meeting room calendars as needed.
Perform general clerical duties including but not limited to filing, photocopying, scanning, and mailing.
Proactively establish communication to the office regarding facilities needs or emergency needs.
May be involved in ordering, stocking and distributing office supplies.
Perform other duties and projects as assigned.
Preferred Qualifications and Experience:
Punctuality and regular attendance, ability to work with minimum supervision are key requirements
Proficiency in Microsoft Office (including Word, Excel, Outlook)
Excellent communication skills (written and oral) and professional demeanor
Previous executive assistant experience is preferred
2+ years of clerical/administrative experience is required
Must have flexibility to work in a fast-paced fluid environment and multi-task
