Job Summary

Fully performs both standard and non-standard transactions in support of management support services job family in the Site Operations or Maintenance departments in the Fossil Power organization. Follows the process for payroll administration to ensure compliance with the Sarbanes-Oxley Act and negotiated labor agreements. Selects, applies, and explains procedures and practices to identify and resolve discrepancies, research information sources, and document and coordinate results. Support to Operations or Maintenance departments may include business planning, budget/accounting, facilities and equipment coordination, payroll operations, records management, procurement/materials management, events planning, legal/contractual services, workers’ compensation claims, and general office management.

Typical duties may include the performance of a variety of day-to-day transactions independently within assigned functional area:

  • Ensuring proper classification, storage, retention, and disposal of organizational records.

  • Serving as organizational representative/contact for office and personal communication equipment (copiers, fax machines, pagers, and cellular phones, telecommunications equipment, etc.).

  • Ensuring/coordinating entry of required data/schedules into various information and business reporting systems.

  • Formatting and retrieving standard and non-standard reports from various business systems. Identifies and resolves discrepancies found in data used to make business decisions.

  • Performing procurement and materials management functions as required by organization including following contractual agreements, requisitioning and receiving goods and services.

  • Serving as the coordination point for activities supporting the full range of work in assigned functional area.

  • Providing orientation or training in assigned functional areas.

  • Ensures all documentation for payroll is accurate, all discrepancies resolved, and all records prepared all times for IG audits.

  • Ensures timeliness of data entry; utilizes additional support as needed and provides backup for other sites within our organization as needed to ensure the timeliness of all sites.

  • Assists management in identifying problem areas, solutions and process improvements with practices and procedures, including payroll.

    Independently performs work assignments using organizational processes as to results expected.

    Skills and Proficiencies (May be job or organization specific)

    Knowledge and use of business systems (including desktop applications), procedures and practices for assigned functional areas. Thorough knowledge of payroll practices and procedures, ensuring compliance with Sarbanes Oxley Act and negotiated Labor Agreements. Ability to organize a large volume of work, plan effectively and meet established schedules. Ability to present ideas/information clearly through oral and written communication. Ability to access, prepare, format, and analyze standard and complex data/reports. Ability to work independently without day-to-day supervision. Ability to analyze, interpret and apply appropriate procedures for payroll entry and recordkeeping.

    Minimum Qualifications (Consistent with Classification Standard)

Education and Experience/Certificates, Licenses, and Registration Requirements/Other Requirements

Demonstrated competence at the Administrative Representative level. Demonstrated experience in PC software applications (MS Office), eWorkplace, and other related office systems. General experience in plant/organization business systems, standards, and processes. Degree, certification or equivalent experience.
