Position Summary:

The Staff Accountant & Payroll Support position is responsible for maintaining and controlling the General Ledger accounts and business transactions of the organization, applying Generally Accepted Accounting Principles (GAAP) that includes analytical work and thorough review of financial records. In addition, this position is a primary backup support for payroll weekly payroll processing of non-exempt and bi-weekly processing of exempt payroll, and ensuring the compliance of the company’s policies, as well as, federal, state and local laws

Essential Functions:

  • Accounting functions

  • Assist the Controller and VP of Finance with day-to-day, monthly, quarterly and year-end operations of the Accounting/ Finance Department

  • Manage customer accounts including new account process, credit card payments, processing of cash receipts, recording revenue and receivables, invoicing and statements, tracking and calculating customer rebates and sales commissions

  • Manage Accounts Receivable policy including facilitation of timely collections.

  • Provide direct support for data administration of the sales process and revenue tracking and analysis

  • Perform bank reconciliations and account reconciliations between the general ledger and subsidiary ledger, and account reconciliations between the general ledger and financial statements

  • Analyze and reconcile selected balance sheet and income statement accounts

  • Assist with month-end close process including preparing and processing required journal entries

  • Assist in internal and external audit processes

  • Monitor and collect data to assess accuracy and integrity; analyze data; ensure compliance with applicable standards (i.e. GAAP), rules, regulations and systems of internal control

  • Maintain strict confidentiality of sensitive company information at all times

  • Primary Backup of Payroll Functions

  • Responsible for the preparation and processing of weekly non-exempt and bi-weekly non-exempt payrolls

  • Review and assure accuracy of approved timesheets

  • Track and deduct all garnishments and other special payroll deductions

  • Prepare and enter journal entries

  • Upload weekly payroll entries to the general ledger

  • Be sensitive to payroll deadlines and ensure timely payroll submission

  • Coordination of efforts between payroll, human resources and business departments to ensure proper flow and maintenance of employee data

  • Ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to policy including compliance with federal, state, and local regulations

  • Maintain strict confidentiality of sensitive employee information at all times

Education and/or Experience Requirements:

  • A degree in Accounting, Business Administration or Finance

  • Minimum of five years’ experience in the payroll/accounting area

  • Experience may be substituted for academic training

  • CPA preferred

  • Proficient in Microsoft Office (Word, Power Point, especially Excel).

  • Demonstrate a proficient level of professional skill and/or knowledge in accounting and keep current with developments and trends. Knowledge and ability to use applicable information technology and systems to meet work needs.

  • Excellent communication skills, written and verbal, with the ability to clearly communicate issues to all levels of management.

  • ERP, Payroll, Accounting and Microsoft Office software including Excel, Word, PowerPoint and Teams software

Work Conditions/Travel:

  • Minimal travel (air and driving) is required for this position.

  • Valid driver’s license is required.
