Southern Company Executive Secretary in Atlanta, Georgia
Basic Function : Provides advanced-level administrative support to vice president and corporate secretary function.
Representative Duties and Responsibilities :
Provides administrative support to vice president and corporate secretary and corporate secretary team; prepares, reviews, and updates correspondence including letters, memorandums, reports, and presentations; answers and screens in-coming phone calls; reviews and screens email; updates organizational charts.
Schedules and maintains VP calendar and is the owner of the Team Calendar and email box (SCS Corp Sec); schedules internal and external meetings; coordinates rescheduling to meet business demands and time constraints; ensures Corporate Secretary fulfills business and personal meeting obligations.
Provides support for planning and logistics for meetings and special events, including Board of Director, System Board and annual shareholder meetings (e.g., conference rooms, refreshments, audio-visual equipment, participant invitations).
Coordinates travel arrangements for corporate secretary teamand provides support to Corporate Secretary Manager on same for certain members of the Board of Directors (e.g., air, hotel, ground transportation, restaurants).
Frequently communicates with and resolves issues for members of the Board of Directors and executive management on a variety of matters.
Coordinates office administrative functions including the preparation and processing of employee information (e.g., reviews and approves time in PeopleSoft/Oracle, Personnel/Contractor Action Notices), budget tracking and variance analysis; maintains office supplies; processes invoices for payment.
Administers the assignment of computers, pagers and cell phones (as applicable); updates phone/pager list.
Provides support for special projects or assignments unique to Corporate Secretary department, including quarterly compilation and distribution of Board of Directors meeting materials and annual internal mailing of proxy materials.
Develops standard and ad-hoc reports; analyzes and summarizes data for management use.
Provides administrative support for management of department budget.
Coordinates purchasing card activities; reviews and reconciles purchasing card expenses; enters into PeopleSoft Financials/Oracle for payment processing.
Serves as liaison for addressing internal client inquiries; researches, resolves, and responds to inquiries with minimal guidance.
Processes confidential information; maintains confidentiality.
- Serve as backup for Executive Administrative positions.

Education and Experience:
Minimum 5 years’ experience supporting a Senior Manager
Associates degree in Business or Office Administration
Must pass pre-employment SASS (Support and Administrative Selection System) test
Demonstrated ability to handle information in a sensitive and confidential manner
Demonstrated ability to work with all levels in the organization
Demonstrated ability to work independently
