The Administrative Technician position performs a variety of moderately complex technical administrative duties in support of administrative, budget, purchasing, and training activities for the External Affairs team. This position reports to the Director, External Affairs and is in Akron, Ohio.
FirstEnergy’s External Affairs team consists of Federal. State and Local Governmental Affairs, State and Federal Regulatory Affairs and Economic Development and serves as the primary contact with government officials that have the potential to impact our business interests.
Promoting FirstEnergy’s Values & Behaviors
Preparing, reviewing, and processing a variety of documents such as requisitions, contracts, reports, training records and correspondence.
Monitoring and maintaining records, files, and databases, including populating Moody Analytics data, and posting to Economic Development SharePoint site and adding property data to LOIS real estate entries.
Developing queries, running ad hoc reports, and extracting administrative, purchasing, and financial data from multiple systems.
Researching, analyzing, compiling, tabulating, assembling, and tracking data using various computer applications and software.
Preparing summaries, forms, tracking systems, and spreadsheets.
Promoting the use of Regional External Affairs and Economic Development’s Customer Relationship Management (CRM) system (Microsoft Dynamics 365)
Consistently monitoring activities and expenditures and alert management regarding issues, needs or problems.
Maintaining knowledge of requirements, policies, and procedures relative to External Affairs; applying knowledge to job duties and ensure adherence.
Assisting in budget preparation and administration.
Performing basic accounts payable activities, analyzing information derived from systems and source documents; calculating and verifying amounts; entering information in appropriate systems; maintaining records; resolving payment issues (e.g., Ohio ESP IV economic development fund)
Preparing and reviewing purchase requisitions and contracts; ensuring budget availability; verifying compliance with purchasing policies and procedures; ensuring proper documentation is included; resolving purchasing issues as required.
Serving as liaison between External Affairs, other internal departments, outside agencies, and the public; providing information and assistance as appropriate.
Posting news updates to FE Economic Development web site.
Providing other technical administrative support tasks as required
High School Diploma or equivalent required. Associate degree is preferred.
Minimum 7 - 10 years work related work experience required. Related work experience includes SAS/Purchase Order Creation/Invoice payments; Microsoft Dynamics or other CRM software; MS Office applications (Excel, Power Point, and Word); Sharepoint is a plus.
Pass company Support and Selection Administrative Selection System (SASS) testing.
Proficient in SAP, particularly experience with Accounts Payable, establishing Vendors, Expense Accounts, creating Purchase Order documents preferred.
Proficient in Microsoft Office Applications (Word, Excel, Power Point, Sharepoint, Teams, Dynamics)
Strong sense of ownership and customer service with ability to be proactive to customer needs
Able to work in a team environment
Strong written and verbal communication skills
Able to maintain confidential information
Strong attention to detail and ability to work through detailed processes
Project Management experience preferred
Able to work multiple priorites and be flexible
