Job Description

This fast paced, full-time, dynamic position serves as the administrative assistant to the Communications and Administrative Services Manager (writing/editing articles, presentation materials; researching information, etc.); while also providing specialized administrative support to the: CEO, COO, CFO, Department Managers, and the Board; assisting with the preparation of: Board Meeting Agendas; Notices of Board Meetings; and Board Meeting materials/reports etc.

Other key responsibilities include: coordinating travel accommodations and meeting arrangements for the Executive Team and the Board of Directors; Assisting with planning, scheduling, and coordinating meetings and other functions for employees, guests, members, and Directors; Preparing for and recording staff meeting minutes, strategic planning and implementation meetings; and meetings of various teams and task forces; Assisting with digitizing paper documents and enforcing the document retention policy for the entire Cooperative; Assisting in preparation of annual budget for the Board of Directors and for travel and conferences for the Executive Team; Assisting with updating and maintaining Board Policy Manual; Providing assistance with all Annual Meeting duties

Job Requirements

Relevant Bachelor’s degree, or equivalent combination of education and experience. Five years of related administrative experience preferred; at least 3 years of related administrative experience required. Proven ability to effectively handle multiple priorities. Demonstrated personal initiative skills. Excellent writing/editing skills are necessary; as well as Microsoft Office proficiency (particularly Outlook, Word, Excel and PowerPoint). Familiarity with electronic file structure and Sharepoint is preferred. Must be capable of recording meeting minutes accurately. Must have ability to direct without having line authority. Must possess the ability to organize, plan, schedule, and coordinate with little or no supervision. Must be able to take on projects and see them through with little outside direction or help.
