Executive Assistant I - This role will report to the Director of Support Services and provide ad hoc support to other members of the Admin Support Services department located in Charlotte, NC.

Administration/Operations Responsibilities include:

  • Provide executive-level administrative support including travel arrangements, calendar management, drafting of correspondence, time reporting and submission of expense reports with proper documentation -Track training events and training documentation for the department as well as ensuring trainings are current and complete
  • Manage subscriptions and office supplies
  • Manage invoicing and monitor monthly budget reports for variances and ensure accurate reconciliation of expenses in accordance with company accounting guidelines
  • Provide support as necessary for other employees in the department
  • Compile and distribute regular office reports and updates
  • Oversee management of department's records, including permanent files and SharePoint/Portal sites, following relevant company retention schedules
  • Support planning and coordination of special events and team meetings Qualifications: Basic/Required Qualifications:

  • 10 plus years of executive administrative experience

  • Experience working with Microsoft office products, including Outlook, Excel, Word, and PowerPoint

Desired Qualifications:

  • Associate’s or Bachelor’s degree
  • Bookkeeping or accounting experience
  • Experience compiling reports and drafting communications
  • Ability to positively and effectively interact and communicate, both verbally and in writing, with a professional and culturally diverse workforce as well as external stakeholders, such as customers, community-based organizational groups, industry-related organizations, government agencies, etc.
  • Experience effectively managing the internal/external time commitments of an executive to facilitate the most effective use of the executive’s time
  • Experience managing invoicing and monitoring monthly budget reports for variances to ensure accurate reconciliation of expenses
  • Exemplary organization skills with demonstrated ability to respond quickly to changing priorities
  • Self-motivated; takes initiative to maintain productivity with minimal oversight
