SUMMARY OF JOB DESCRIPTION

The Administrative Specialist provides routine to complex clerical support for administrative operations for specific departments throughout the company.

DESCRIPTION OF ESSENTIAL FUNCTIONS

  • All NorthWestern Energy employees are required to adhere to company safety standards and the Code of Business Conduct & Ethics

  • Ensure all actions are consistent with NorthWestern Energy's values, mission, and strategic business objectives

  • Perform clerical and administrative duties for hydro and other generation departments

  • Scan, file, enter, and maintain specific department records for retention

  • Answer the telephone and respond to clients, supervisors, and staff members questions

  • Purchase and maintain inventory of department office supplies

  • Coordinate and facilitate meetings with in hydro and other generation departments

  • Monitor and report department's budget to track expenses and costs

  • Schedule travel arrangements including flight, hotel, and car rentals

  • Attend various meetings including department, faculty, or social functions

  • Perform all other projects and job-related tasks as requested

  • Work all required hours including evenings and weekends as needed

  • Prepares and complies analysis information for reports, spreadsheets and presentations such as monthly generation reports

  • Administer purchase card reconciliation process for employees

  • Manage the FERC compliance tracking and data base

  • Administer employee payroll process and reporting

MARGINAL WORK FUNCTIONS

*These functions may be considered essential based on location and other factors.

  • Provide training for staff members on specific tasks and duties*

  • Provide support to various staff members within different departments*

  • Receive and distribute incoming and outgoing mailings to designated locations*

  • Create contract requests* (hydro and other generation departments)

  • Fill in for other office positions as needed*

  • Travel to meetings, conferences or trainings (up to 20% travel per year)*

  • Process and code incoming AP Invoices*

  • Assist with safety awareness recognition programs*(hydro)

GENERAL QUALIFICATIONS

  • High School Diploma or equivalent

  • An Associate's Degree in Business, Accounting, or similar field of study preferred

  • At least two years' experience/training within administrative tasks preferred

  • Proficient with Microsoft Office Suite

  • Experience with computer applications or SAP software preferred
