Title: Executive Assistant, Legal
Location: AES Arlington VA office
Job Description: Provide executive level administrative support for the Legal Group in AES’ Corporate office. Specific responsibilities include, but will not be limited to the following:
Reading, researching, and routing correspondence.
Prepares correspondence, memos, presentations and other confidential materials on an as-needed basis and maintain contact/distribution lists.
Maintains professionalism and ensures information is kept confidential
Arranges travel domestically and internationally (airline, hotel, ground transportation, directions, obtaining visas for international travel, etc.)
Assume logistical/administrative responsibility for organizing and scheduling meetings (securing both on-site and off-site conference rooms, catering, preparation and distribution of meeting materials).
Serve as point of contact for the attorneys in liaising with internal staff and external clients.
Assist with preparing PowerPoint presentations and Excel spreadsheets
Provide proofreading, editing and word processing support as needed.
Manage invoice and expense report payments
Prepare correspondence, memos, presentations and other materials on an as-needed basis.
Act as backup, as needed, to the Executive Assistant supporting the Chief Legal Officer.
Although primary support and focus will be direct manager, will need to provide administrative support to other members of the legal team as needed.
Qualifications: Prefer a minimum of 3-5 years of executive-level administrative experience or equivalent experience. The preferred candidate should have an executive presence, strong organizational skills and highly developed skills with Word, Outlook, PowerPoint, Excel and coordinating travel. Foreign language skills desirable but not required.
Approach to work should be take-charge, proactive, and very detailed-oriented. Should also be able to effectively prioritize work and exercise mature judgment. Be able to follow up and report on any task daily. Candidate must be able to maintain strict confidentiality and operate in a constantly changing, fast-paced environment.
The candidate must have excellent people skills; must be comfortable managing and working under deadlines; have the ability to communicate effectively; be able to juggle multiple tasks at once in a fast-paced environment; must be extremely flexible; be able to work individually and with a team; must proactively identify tasks; and have an attitude that “finishes the work” to a high level of professionalism. Position requires a global mindset and the ability to work across different cultures.
Must be able to adjust work hours when necessary to support needs of the attorneys and legal team. Typical hours 9am-6pm, Monday through Friday.
